Privacy Policy

Version 1.0 · effective 1 August 2026

In short. We only collect what we need to let you in and issue an invoice: your name, email, phone number and booking details. We never sell your data. The facility is under CCTV and recordings are deleted after 30 days. Analytics and advertising tools load only after you accept them in the cookie banner – and you can withdraw that at any time.

This is a courtesy translation; the Polish version prevails.

2. What data we collect

Booking and use of the simulator: name, email address, phone number, booking details (date, time, bay, price, payment status) and the access code assigned to you. You provide these in the TrackMan booking system. We never see or store your card details – those are handled by the payment provider.

Invoices: name or company name, address, VAT ID.

Waiting list: email address, optionally your first name, site language, sign-up date and IP address (stored only to limit automated spam sign-ups).

Email and phone contact: whatever you provide – email address, phone number, the content of your message.

Visits to the facility: CCTV footage and access-control logs (date and time a code was used).

Use of screengolf.pl: IP address, device and browser type, pages visited, referral source and visit time – in server logs and, if you consent, in analytics and marketing tools.

We do not process special categories of data (such as health data) and ask you not to send them to us.

Providing data is voluntary, but the fields marked as required in the booking system are necessary to conclude the contract – without them we cannot deliver the booking or issue an invoice.

4. How long we keep data

5. Who we share data with

We do not sell data and do not share it for anyone else's marketing. We do use processors acting on our instructions:

  • TrackMan A/S (Denmark) – simulator technology and online booking system;
  • the payment provider integrated with the booking system;
  • our hosting and email provider for screengolf.pl;
  • the access control (keypad lock) and CCTV system suppliers;
  • our accounting office;
  • Google Ireland Limited – Google Analytics (only with your consent);
  • Meta Platforms Ireland Limited – Meta Pixel (only with your consent, if active);
  • legal or debt-recovery advisers, where necessary.

We may also disclose data to public authorities where required by law.

6. Transfers outside the EEA

As a rule your data stays within the European Economic Area. Some analytics and marketing providers (Google, Meta) may also process data in the United States, based on the European Commission's adequacy decision (EU–U.S. Data Privacy Framework) or on Standard Contractual Clauses together with additional safeguards. You can request a copy of the safeguards at kontakt@screengolf.pl.

7. CCTV

  • The facility is unstaffed and open around the clock, so we use CCTV covering the entrance and playing areas.
  • It does not record sound and does not cover toilets or changing areas.
  • Purpose: safety of people on site and protection of property (Art. 6(1)(f) GDPR).
  • Recordings are kept for up to 30 days and then overwritten, unless secured as evidence in proceedings.
  • Only the controller and, where needed, the CCTV supplier under a processing agreement have access.
  • A CCTV notice is posted at the entrance.

8. Cookies

Cookies are small text files stored in your browser. We use three categories. Analytics and marketing cookies load only after you consent in the banner shown on your first visit – until then no Google or Meta scripts run at all.

To change or withdraw consent, click “Cookie settings” in the site footer and choose again. You can also delete or block cookies in your browser settings. Blocking essential cookies may affect how the site works.

9. Your rights

  • access to your data and a copy of it;
  • rectification of inaccurate or incomplete data;
  • erasure, unless we are required to keep the data;
  • restriction of processing;
  • portability of data processed on the basis of a contract or consent;
  • objection to processing based on legitimate interest – including CCTV – on grounds relating to your particular situation;
  • withdrawal of consent at any time, without affecting the lawfulness of processing before withdrawal.

To exercise these rights, write to kontakt@screengolf.pl. We respond within one month; for complex matters we may extend this and will let you know. We may ask for information to confirm your identity.

10. Complaint to the supervisory authority

If you believe we process your data unlawfully, you may lodge a complaint with the President of the Personal Data Protection Office: ul. Stawki 2, 00-193 Warsaw, Poland, uodo.gov.pl.

11. Security and automated decisions

  • The site runs over HTTPS; access to booking and waiting-list data is password-protected and limited to the controller.
  • We sign data processing agreements with providers processing data on our behalf.
  • We do not make decisions about you based solely on automated processing that would produce legal effects or similarly significantly affect you, and we do not profile you for that purpose.

12. Changes to this policy

We update this policy when our services, tools or the law change. The current version is always available here, numbered and dated. We announce material changes on the homepage and, for waiting-list subscribers, by email.
